How to send a password-protected, Encrypted Email

This tutorial will show you how to send a password-protected, encrypted email to any recipient outside of Enguard.

This message encryption feature is designed to encrypt the message body of the email and all attachments, delivering your message to the recipient through our Secure Webmail System.

If you only need to send a file securely, you may also use our Secure File Link feature.
Secure File Link provides simpler/faster access to a file for your recipient, but does not protect the message body.


How to Encrypt an Email Message:

Step 1: Compose a new email message from any email application, as usual.

This will work from our webmail, your email software, or your mobile devices.

Step 2: On the subject line, type secure as the first word, followed by whatever you would like as your message subject *

The word secure will trigger our systems to encrypt your message.

Step 3: Compose your message body, add your attachments, and send it as usual. (see below example)


That's it! The message will be sent securely. 

Notice in our example, we were able to discuss the patient's appointment details and send test results directly to him in an attachment. 


*This is not case-sensitive. If the word secure is anywhere within the subject line, encryption will trigger and send that message with protection. The word "secure" will not be visible to your recipient, but they will see anything else you typed on the subject line. Please be aware that subject lines are not encrypted. For best email practice in security and HIPAA compliance generally, do not add sensitive client information to any email subject line. Client or patient-specific details should go in the message body or attachments, where they will be protected, and your subject line should simply offer a general idea of the message contents. For example, instead of "John's Immunization Titer Test Results," make the subject "Your Test Results" and keep the details (name, nature of treatment, doctor) in the message body. 



More about Encrypted Messages:

  • You can attach files (up to 25MB) with your message. Attachments are protected by this feature.
  • We will deliver the message to the recipient through our Secure Webmail System.
  • You will receive an email confirmation from our server as proof of delivery, indicating the message was encrypted and delivered.
  • You will receive an automatic email notification when the recipient opens your encrypted message. 
  • Other customers using Enguard as their email host will automatically receive a regular message from the email server, instead of through the Secure Webmail System, as those are internal messages on our system and already secure by default and do not need additional encryption.
