This tutorial will show you how to create a Content Filter for your email account from the Entrvst Webmail System.
Content Filtering can be used to accomplish a number of goals. Some examples include:
- Blocking Senders
- Sorting Incoming Mail from Particular Senders to Particular Folders
- Automatically Marking Specific Incoming Mail as High Priority
- Placing All Mail with Attachments into a Custom Folder
In this example, we will Create a Content Filter that sorts all incoming messages from the domain "paypal.com" and the email address "email@example.com" to a custom email folder named "PayPal." However, you will see that there are many, many filtering options available to you. Please also see our tutorial on Blocking Senders for a more relevant example if that is what you are trying to accomplish.
Create a Destination Folder
If you want to filter all incoming messages from a particular sender (or group of senders) into a new custom folder, the first step is to Create that Folder so your filter will have a destination. We recommend that you do not create many Inbox Subfolders.
We have created a folder named PayPal for this example:
You do not have to create a new folder if you plan to filter the messages into one of your already existing folders.
Create a Content Filter
Step 1: Click the Settings tab in Webmail
Step 2: Click the + to expand Filtering, then click Content Filtering from the expanded options.
Step 3: Click New in the blue bar. You will see a list of options appear.
Step 4: These items determine what will be affected by or "caught" by the filter. In this example, we have selected the two most commonly used rules: "from specific addresses" and "from specific domains." Select your items, then click Next.
Step 5: On the next screen, you will name your filter and then continue setting filter rules.
If we want all messages from any users @ the domain paypal.com and all messages from the email address firstname.lastname@example.org, then we should change the rule from AND to OR, and then put the address and domain into their appropriate fields.
Then, click Next.
On the next screen, you will name your filter and then tell the filter what action to take with the incoming messages that it catches.
Step 6: We recommend giving the filter a name you will remember and associate with its function. For example, have named this filter "Paypal Filter."
Step 7: You have several options for filter actions, but for this example, we want the filter to move any messages from paypal.com or email@example.com to the folder we made for them "PayPal."
Step 8: Make sure to SAVE your filter! Click the Save button at the top on the blue bar.
That's it! We now a have a filter set to take all future incoming messages from paypal.com or firstname.lastname@example.org and place them in our PayPal folder instead of the Inbox. On your address, you could create similar filters to help you organize incoming notifications, newsletters, etc. that crowd your inbox. Any user has the ability to customize their account with filters!
