Route website form data from external web site

This tutorial will show you how to route website form data to an EnGuard email address.

If EnGuard is not your web host and you are hosting your web site with an external web hosting service on a Linux server running cPanel, you can follow these steps. The screenshots below may look different, depending on which version of cPanel your web host is running.

If you are running a Wordpress website, try the steps below. If it does not work, please install an SMTP plugin and configure it with this tutorial. Some web hosts block outbound SMTP traffic, so be sure to contact them to check if they are blocking your website. 

 

Determine Your Mail Server Address

Step 1: Open a web browser on your computer and go to webmail.yourdomain.com (replace yourdomain.com with your actual domain name)

For example, if your email address is bob@xyzhealth.com, you would type in webmail.xyzhealth.com

Do not use a search box (from Google, Bing, Yahoo, etc.) or include http:// or https:// when entering the URL into the browser's address bar.

 

Step 2: You will automatically be redirected to your mail server.

Your mail server address is the first portion of the URL.

In this example, the mail server address is: mail.enguard.com

 

Step 3: Please write down your mail server address, you will need it to complete the steps below.

 

Step 4: Login to cPanel at your external web hosting service, then click Email Accounts. You may need to go into Advanced settings.

 

Step 5: Make sure there are no email addresses listed. If there are, please delete them all. The system user cannot be deleted.

 

Step 6: Go into Email Routing

 

Step 7: Select Remote Mail Exchanger

Click Change

 

Step 8: Go into DNS Zone Editor to modify your MX record

 

Step 9: Enter your mail server address in the Destination field.

Click Save

 

Step 10: Form Settings

Within the settings or code for your web form, do not specify the "from" address as any email address @ your domain name.

For example, the "from" address cannot be info@abc.com, delivering to info@abc.com. Our server will consider this a spoofed message and will reject it.

Set the "from" address to a fake email and domain name. For example: webform@abcxyz.com (make sure the domain name does not exist).

This will ensure the message will pass all spam filtering and make it to your inbox.

 

SSL/TLS Certificate Requirements

If you allow prospects, patients, clients, or employees to send you information on any form on your website, you need to secure the website itself. Using a secure email address for the web form is required, but HIPAA guidelines and best security practices require that you install an SSL/TLS Certificate on your website as well. If you work with Patient Health Information this is mandatory. Speak to your web hosting provider about this and be sure the SSL/TLS Certificate is installed before you enable web forms that people can use to send you personal information. 

 

If you cannot get the web forms to properly route to your secure email address...

Some web hosts block outbound SMTP traffic on their firewalls, you will need to check to see if your website is being blocked. If your web host refuses to unblock SMTP ports, you may need to move and host your web site with EnGuard, we can help you migrate the website over free of charge.
