Create a Mail Group / Group Forwarding Email Address

This tutorial will show you how to create a Mail Group Group Forwarding Email Address.

A Mail Group is an auto-forward of one email address to multiple users. This is useful if your organization has many departments and would like to create Internal Group Distribution Lists. Please be aware that mail aliases are restricted to internal users only: forwarding within the same domain name, to the other email addresses or aliases on your account.

In this example, we will create a Mail Group email address named sales@youremailaccount.com that will forward mail to John and Susan.

 

Step 1: Click on Manage Mail Groups

 

Step 2: Click on Add Mail Group

 

Step 3: Complete the Add Mail Group page

a) Group Name

Type the first part of the email address you want to create (the part that comes before the @ symbol).

b) Display Name 

This will be shown on outgoing emails and in your contacts.

c) Include All Domain Users

This will automatically select ALL USERS within your domain name.

d) Members

Type the user addresses that you want to auto-forward to. You can only enter email addresses within your domain name. We do not allow auto forwarding to email addresses outside our system (e.g. gmail.com, yahoo.com, etc.), as this would be a HIPAA violation.

e) Group can be used as a from address in webmail

Users that are part of this group can send from this group, there will be a dropdown in webmail to select this address. In this example, John can send from sales@youremailaccount, and any reply will go to John and Susan.

f) Enable Chat for this Group

Create a Group Chat in webmail that includes these users. For example, you can create Group Chats for different departments: Support, Sales, Managers, etc.

g) Internal Only

This address will only be available internally to your users. For example, managers@youremailaccount.com, where the management team can talk to each other. If someone from the outside world sends an email to this address, it will bounce.

h) Show in Global Address List

This address will show in your Global Address List in Contacts. If you do not want this address to be visible in the GAL, uncheck this box.
